Our classes include:

Willington Village Hall

Monday afternoon fitness classes.

Moggerhanger Village Hall

Thursday morning fitness classes and Thursday afternoon chair-based exercise classes.

Members are asked to complete a registration and health screening questionnaire before participating.

This information helps us consider individual exercise requirements and identify potential concerns.

Completing a questionnaire does not automatically confirm that someone is medically fit to exercise.

Where appropriate, we may recommend obtaining medical advice before participating.

Members are encouraged to inform their coach of relevant changes to their health or physical abilities.

6. Health Information and Confidentiality

Health information is classified as special category personal data under UK data-protection legislation and requires additional protection.

We collect relevant health information for purposes such as:

  • Exercise readiness screening.
  • Participant safety.
  • Programme planning.
  • Exercise adaptations.
  • Appropriate health and exercise coaching.

For our Age Activity registration system, we seek separate, explicit consent to process the health information provided for these purposes.

Consent is requested independently of the participation agreement, privacy acknowledgement and optional photography consent.

Individuals may withdraw their consent by contacting us.

Withdrawal does not affect processing already carried out lawfully. We may retain information where another lawful basis and applicable special category condition permit or require us to do so.

If we cannot process information necessary to assess exercise readiness, we may be unable to provide certain services safely.

Health information will not be used for unrelated purposes without an appropriate lawful basis.

7. Legal Basis for Processing Information

Under UK GDPR, personal information must be processed using an appropriate lawful basis.

Depending on the circumstances, we may rely on:

Contractual necessity

Where information is required to provide a service requested or purchased.

Legitimate interests

Where processing is reasonably necessary for managing our business, communicating about existing services or maintaining appropriate records, provided those interests do not override individual rights.

Legal obligations

Where information must be processed or retained to comply with applicable law.

Consent

Where an individual has agreed to a specific use of their information, such as optional marketing communications or promotional photography.

Vital interests

In exceptional circumstances where processing is necessary to protect someone’s life.

Additional protection for health information

Processing health information also requires a separate condition under Article 9 of the UK GDPR.

For Age Activity health screening, we seek explicit consent under Article 9(2)(a).

We will not rely on consent where it is not appropriate or valid. Where another Article 9 condition is necessary, we will identify and document it before relying on that condition.

8. Exercise Participation and Safety

Participants may be asked to acknowledge an exercise participation agreement.

This may include confirming that:

  • Information provided is accurate to the best of their knowledge.
  • They will exercise within their individual abilities.
  • They will follow appropriate safety instructions.
  • They will inform the coach if they experience discomfort or feel unwell.
  • They will notify the coach of relevant changes to their health.

These declarations help support safe participation.

They do not remove our responsibility to take reasonable care when delivering our services.

9. Photography and Video Consent

Photographs or videos may occasionally be taken during exercise classes, coaching activities or community events.

These may be used to promote Keep Well Nutrition & Health and Age Activity Fitness Club through:

  • Our website.
  • Facebook.
  • Instagram.
  • YouTube.
  • TikTok.
  • Printed promotional materials.

We seek appropriate permission before using identifiable photographs or videos for promotional purposes.

Photography and video consent is optional and separate from exercise participation.

Refusing permission will not prevent someone from attending a class.

Participants may withdraw consent for future use by contacting us.

Where reasonably possible, we will remove material from channels under our control following a valid withdrawal request.

However, we may not be able to remove copies already shared or distributed by others.

10. Online Registration and Google Sheets

Our Age Activity Fitness Club registration system uses Google Apps Script and Google Sheets to receive and organise information submitted through our website.

Access to registration records is restricted to the business operator and any other individuals specifically authorised where necessary.

At present, access to Age Activity registration records is managed by Cedric A. Murray.

We take reasonable precautions to protect stored information, including controlling account access, restricting sharing and maintaining appropriate security measures.

Google’s services may process information using infrastructure outside the United Kingdom.

Where international transfers occur, appropriate data-protection safeguards must apply.

Where consent is required, we will obtain it before sending marketing communications.

Individuals may withdraw marketing consent or unsubscribe at any time.

Confidential health screening information is not used to target individuals with marketing.

If a personal data breach occurs, we will assess the incident and take appropriate action, including notification where legally required.

15. How Long We Keep Your Information

Keep Well Nutrition & Health retains personal information only for as long as reasonably necessary to provide our services, meet legal obligations and maintain appropriate business records.

We review the information we hold and securely dispose of records that are no longer required.

Active members

Personal registration information is retained while individuals actively participate in our exercise classes or coaching programmes.

Inactive members

Where a member has not attended or used our services for 12 months, their registration will be reviewed.

Contact details and emergency contact information that are no longer required will be securely deleted.

Health screening and exercise participation records

Health questionnaires, exercise screening information and relevant participation records will normally be retained for up to six years following an individual’s last participation.

This period is intended to support appropriate record-keeping and the handling of potential insurance or legal claims.

Records may be retained longer where required by law or where an ongoing claim or dispute makes continued retention necessary.

We will periodically review whether continued retention remains necessary and proportionate.

Different arrangements may be required for records involving children.

Financial records

Financial and transaction records will be retained for the periods required by applicable UK tax and accounting legislation.

Marketing information

Marketing contact information will be retained while an individual wishes to receive communications.

Individuals may unsubscribe or withdraw consent at any time.

Limited information may be retained where necessary to ensure marketing preferences continue to be respected.

Photographs and videos

Photographs and videos used for promotional purposes will be reviewed periodically.

Consent records will be retained for as long as reasonably necessary to demonstrate permission for their use.

Where consent is withdrawn, future use will stop and existing material under our control will be reviewed for removal where appropriate.

General enquiries

Information relating to general enquiries will normally be retained for no longer than 12 months after the last communication, unless there is a legitimate reason for retaining it longer.

Secure disposal

When information is no longer required, electronic records will be securely deleted from systems under our control.

Paper records, where applicable, will be securely destroyed.

Where information is held by external service providers, deletion may be subject to their technical processes, backup arrangements and applicable retention obligations.

We aim to ensure that personal and sensitive health information is not retained unnecessarily.
